Sound familiar?
- Invoices go out in batches, whenever you get to them.
- You chase late payments yourself, and you hate it.
- Receipts end up in a shoebox, a glovebox or a camera roll.
- The schedule gets built and rebuilt by phone and text.
- Someone types the same numbers into QuickBooks and a spreadsheet.
- One person does the books at night.
What I look at
- Invoicing
- How many days pass between finishing a job and sending the invoice, and who builds it from what: notes, a timesheet, memory.
- Getting paid
- Days from invoice to cash, who chases, how long that takes, and whether customers can pay right from the invoice.
- Expenses and double entry
- How receipts get sorted, and every place the same information gets typed into two systems.
- Scheduling and reports
- How the schedule gets built and changed, and the reports someone puts together by hand every week or month.
What you get
- Hours back, task by task, measured against your own numbers from the form.
- A blueprint for your top three workflows: what starts each one, every step, the tool, and who owns it.
- Days to cash: how long your money is out there now, and what would shorten it.
- Every finding tagged with what it does for you: saves time, brings in money, or makes the work better for customers.
Finish a job on Friday, invoice the next Tuesday, get paid the Tuesday after: that's eleven days. Get it down to three and you're paid more than a week sooner on every job, without one more sale.
How it works
- Free 15-minute call (optional)
Tell me what's going on. If this review is the right one for you, I'll say so. If another one fits better, or none does, I'll tell you that too.
- Short form, 10 minutes
What eats your week in the back office and roughly how long each piece takes. That's the baseline we measure against.
- The call, 45 minutes
You walk me through how money and paperwork move, from a finished job to cash in the bank. Recorded with your OK.
- The written report
Plain English. Every finding ranked by effort and impact, and tagged with what it does for you: saves time, brings in money, or makes the work better for your customers.
- Review call, 30 minutes
We go through it together and decide what to do first. You can do it yourself from the report, or I'll quote the build at a fixed price.
Straight answers
This is a plan, not a build. Setting up the automations is a separate project at a fixed price, quoted once you've seen the blueprint.
Do you need access to my accounting software?
Not for the review. You tell me how things work and I may ask to see a screen or two on the call. Nothing gets connected until you decide to build something.
We already use QuickBooks.
Good. A lot of the fixes are settings and connections in software you already pay for. That comes before buying anything new.
